Welcome to WineWorx. We respect your privacy and are committed to protecting your personal data. This privacy policy explains what data we collect, how we use it, and what rights you have.

2. What data do we collect?

Account information:

• Email address
• Password (encrypted)
• Account creation date

Wine collection data:

• Wine information (name, producer, vintage, type, etc.)
• Wine photos you upload
• Cooler configurations and locations
• Notes and ratings

Shared wine catalog:

• When you add a wine, anonymized wine data (name, producer, vintage, country, region, grape variety, type) is contributed to our shared wine catalog
• This data does not include any personal information, photos, notes, locations, or prices
• The shared catalog helps all users by providing wine suggestions during data entry

Support messages:

• When you email our support address, we receive your email address, the content of your message and any attachments you send

Technical data:

• IP address
• Browser type and version
• Device information
• Usage statistics
• An AI usage counter, which records how many times you have used AI-powered features, in order to enforce the free AI-credit allowance

3. How do we use your data?

• Account management: To create and manage your account
• App functionality: To store and display your wine collection
• Shared wine catalog: To build a community wine database that provides suggestions and auto-complete when adding wines
• Service improvement: To improve the app based on usage patterns
• Communication: To inform you about important updates (only when necessary)
• Customer support: To handle and answer the questions, problem reports and feedback you send us
• Security: To prevent fraud and ensure app security

4. Third-party services

We use the following external services:

• Supabase: For database hosting and authentication

AI-Powered Features and Third-Party Processing

WineWorx offers optional AI-powered features including wine label recognition, wine search, AI sommelier recommendations, drinking window insights, and background removal for wine photos.

These AI features are only activated after you explicitly enable them within the app. AI processing is based on your consent, which you can withdraw at any time in the app settings.

When you use AI features, the following data may be transmitted for processing:

• Wine metadata such as name, producer, vintage, region, grape variety, and type
• Your wine collection context when generating recommendations
• Text you submit when using AI features
• Wine label photos or image URLs for recognition (background removal is processed on our own servers)

AI processing is carried out by the following service providers:

• OpenAI – used for wine recognition, wine search, AI recommendations, and drinking window calculations.

OpenAI acts as a data processor on our behalf and processes data solely for the purpose of delivering the requested AI functionality. They do not receive your email address, account credentials, payment information, precise location, or device identifiers.

Background removal is processed entirely on our own servers using a self-hosted service. Your photo or image URL is not transmitted to any third party for this purpose.

EXIF and GPS metadata are removed from photos before any AI processing occurs.

WineWorx does not sell personal data and does not use AI data for advertising purposes.

Support Messages

When you email our support address, we use an AI service to sort your message and to prepare a reply. A person reads every reply before it is sent; no message is answered automatically.

Anthropic acts as a data processor on our behalf and processes your message solely for this purpose. It receives the subject and the text of your message and the names of any attached files. It does not receive the attachments themselves, and we do not pass on your email address as the sender. Anything you write in the message itself, such as a name in a signature, is included.

This applies to support messages only. It is separate from the AI features in the app and does not depend on whether you have enabled them.

5. How long do we keep your data?

We keep your personal data as long as your account is active. If you delete your account:

• Personal data: Your account information, wine photos, notes, ratings, and cooler locations will be permanently deleted within 30 days
• Anonymized wine data: Basic wine information (name, producer, vintage, country, region, type) that was contributed to the shared catalog will remain available to help other users. This data contains no personal information and cannot be traced back to you

6. Your rights (GDPR)

You have the following rights:

• Access: You can request a copy of your data
• Rectification: You can correct your data through the app
• Erasure: You can delete your account and all data via Settings
• Objection: You can object to the processing of your data
• Data portability: You can request your data in a readable format

7. Security

We take your privacy seriously and use industry-standard security measures:

• Passwords are encrypted (bcrypt hashing)
• HTTPS encryption for all communication
• Regular security updates
• Access control and monitoring

8. Cookies and tracking

We only use essential cookies for authentication and basic analytics. You can disable cookies in your browser, but this may limit app functionality.

9. Children

WineWorx is an app for adults (18+). We do not knowingly collect data from persons under 18 years of age.

10. Changes to this policy

We may update this privacy policy from time to time. For significant changes, we will notify you via email or an in-app notification.
